Tuition and Fee Refunds

Tuition and Fee Refunds are processed after the Census Date of each new term (the tenth day of instruction in the fall and spring semesters, the fifth day of instruction in the summer semester).

  • 100 percent refund minus any non-refundable fees if class(s) dropped before the close of business on Census Date
  • No Refund will be given if withdrawal of classes occurs after close of business on Census Date.
  • A current address with College of Western Idaho is needed to receive any refund.

NOTE: Census Date and deadlines vary for Career and Technical Education (CTE), Workforce Development (WD), and other courses that do not follow the standard start/end dates.

Refund Methods

Direct Deposit

  • What it is: an electronic transfer of you refund into your personal checking or savings account.

  • What you need to do: have your account number and routing number available when you Sign Up.
Blackboard Pay Prepaid Debit MasterCard (CWIPay)

In most cases funds are available the same day they are sent to Blackboard Pay

  • What it is: a Blackboard Pay Prepaid Debit MasterCard called CWIPay that is mailed to you. When your refund is ready, it will be loaded onto your card. You can make purchases anywhere MasterCard is accepted and withdraw cash for free at any ATM. Certain fees may apply to the use of the card.

Paper Check

In most cases checks will be mailed out in 1–2 business days and arrive within 3–7 business days

  • What it is: If you do not select a refund method, a check will be mailed to the address on file at CWI.

  • What you need to do: ensure that your mailing address is up to date at CWI. Validate Your Current Address

Choose a Refunding Method

If you are eligible for a refund, you have the option of choosing how you would like to receive your money.  Here’s how:

Make sure you have all the necessary information. You will need the following: *

  1. Your CWI Student ID
  2. Your Date of Birth
  3. Your CWI Email Address

Click the Enroll button to enroll with Blackboard Pay and select your refund method.  You will be directed to the Money Network website.  Select “Enroll Now”, verify your identity, and follow the on screen instructions.

Tuition and Fee Refunds for Dropped Classes

If you drop one or more of your classes before the close of business on Census date of any semester for which you are registered, you will receive a 100 percent refund of the tuition and fees charged.

If you withdraw from one or more classes after the close of business on Census date in any semester for which you are registered, you will be billed the full cost of those classes and not receive a refund.

Non Refundable Fees

Fees which are non-refundable include but are not limited to:

  • Payment Plan Fee
  • Late Fee
  • Reinstatement Fee
  • Returned Check (NSF) Fee

Financial Aid Refunds

Financial aid funds are used first to pay direct institutional costs (tuition, fees, and other institutional charges). If your financial aid funds exceed the amount owed to CWI for tuition, fees, and other institutional charges you will receive a refund. After I sign up, do I have to sign up every term?

No. Your refund choice will apply to all future refunds. You can change your refund method as often as you like, but be sure to allow at least one week for the change to be processed.

Direct Deposit FAQ

Can I use my debit card number to set up direct deposit?

No. You must use your bank account and routing number printed on the bottom of your check. If you enter your debit card number, your deposit will be rejected.

What happens if I entered my account number incorrectly?

The bank will check to make sure the account number is valid, but they do not verify that the bank account you entered belongs to you!

  • If you entered a valid account number that belongs to someone else, the deposit will go to that account. We can try to recover the funds, but there is no guarantee.
  • If you entered an invalid account number, the deposit will be returned and an attempt will be made to contact you.

Changing Refund Preference

Contacting MoneyNetwork Customer Service

Calling 1-800-822-4283

When a student calls MoneyNetwork at 1-800-822-4283 they will be asked to select:

  • 1 - for English
  • 2 - for Spanish

The next menu will ask the student to select one of 4 options:

  • 1 – See the Balance or Activate a Card
  • 2 – All Card Account Info or Customer Service
  • 3 - Lost or Stolen Card
  • 4 - ACH Direct Deposit or Check

If the student has a card, then they will enter the 16 digit card/account number once a selection has been made and can access all account information, make changes as needed, and talk with a customer service representative.

If a student does not have a card, then the logical option would be to choose option 4.  When option 4 is selected, the student will hear a recording telling them to go to to access their refund preference information.  Then the system automatically hangs up.

If the student does not have a card and wants to actually talk with a person, then he/she will have to select option 2.  At this point the system will ask for the 16 digit card number.  If the student enters 0 and then presses the # button, the system will then say that the account was not found and to re-enter the account number.  Once the student goes through this 3 times, the system will automatically transfer the student to a live MoneyNetwork agent.


Change Preference

If a student would like to change or view his/her refund preference online:

  • Go to
  • Click enroll button
  • Click Next
  • Enter Student ID (including preceding zeros)
  • Birthdate (MM/DD/YYY)
  • Enter CWI Email Address ([email protected])
  • The next screen will have the student generate a token.  This token will be a series of letters and numbers.  The token will be sent to the student’s CWI email.  The student should not exit out of the MoneyNetwork website, but should go to his/her CWI email and get the token.  Enter or copy/paste the token in the field on the MoneyNetwork website and hit enter.
  • Then the student will be taken to a screen where he/she can check the refund preference information and update it or change it if necessary.
